We collect the following categories of personal data when you interact with our website: • Name, when you fill in the contact form • Email address, when you write to us, sign up for the newsletter, download a template or voluntarily ask to have the result of an operations check sent to you • Company name, phone number and message, when you provide it in the contact form • Technical data (IP address, browser type, device, time of visit and behaviour on the site) via analytics tools Operations check and OEE calculator: your answers and figures are processed locally in your browser and are not sent to us, unless you yourself choose to contribute anonymously to the OEE Index (industry + figures only, no personal data) or ask for a report by email. We use Cloudflare Turnstile to protect the contact form against abuse. Turnstile assesses whether a submission comes from a human without placing tracking cookies.

We process your personal data for the following purposes: • Responding to enquiries from the contact form (legal basis: legitimate interest, art. 6(1)(f)) • Fulfilling agreements and contractual obligations (legal basis: contract, art. 6(1)(b)) • Protecting the contact form against spam and abuse (legal basis: legitimate interest, art. 6(1)(f)) • Sending you the newsletter, templates or your operations-check result plus relevant follow-up, when you have asked for it yourself (legal basis: consent, art. 6(1)(a)). You can unsubscribe at any time • Measuring and improving the use of the website via statistics and simple personalisation (legal basis: consent, art. 6(1)(a))

We store your personal data for as long as it is necessary to fulfil the purpose for which it was collected: • Contact enquiries are received as email and deleted no later than 2 years after the matter is concluded • Newsletter and template sign-ups (email and possibly name) are stored in a database hosted by Vercel for as long as you are subscribed. If you unsubscribe, your address is placed on an unsubscribe list so you are not contacted again, and other information is deleted no later than 6 months after unsubscribing • Customer relationships: stored for up to 5 years in accordance with the Danish Bookkeeping Act • Statistics on the use of the website are processed in aggregated form with our analytics providers If you want your data deleted entirely (including from the unsubscribe list), you can always write to contact@prozanta.com.

We do not disclose your personal data to third parties without your consent, unless it is necessary for the fulfilment of an agreement or a legal requirement. We use the following data processors: • Hosting and infrastructure: Vercel Inc. (USA — processed under the EU-US Data Privacy Framework) • Traffic statistics: Vercel Analytics and Vercel Speed Insights (both cookieless and anonymised; they store nothing on your device and therefore run without consent) • Product and behaviour analytics: PostHog (data hosted in the EU) • User-behaviour analytics: Microsoft Clarity (Microsoft Corp., USA — transfer under the EU-US Data Privacy Framework). Loaded only with statistics consent. Anonymised heatmaps and session data. • Web statistics: Google Analytics 4 (Google Ireland Ltd. — only with statistics consent; IP is anonymised) • Retargeting/marketing: Meta Platforms Ireland Ltd. (Meta Pixel) and LinkedIn Ireland (Insight Tag) — loaded ONLY with marketing consent. Used to show relevant ads and measure campaigns. Data may be transferred to the USA under the EU-US Data Privacy Framework. • Email and newsletter: Resend (email delivery; a US provider — our delivery is configured for an EU data centre in Ireland, and any transfers to the USA take place under the EU-US Data Privacy Framework). You can unsubscribe at any time via the link at the bottom of any email. • Storage of sign-ups and enquiries: Vercel Postgres (database at our hosting provider Vercel Inc.) • Bot protection of the contact form: Cloudflare, Inc. • Rate limiting/operational security: Upstash (temporary processing of IP to prevent abuse) Simple personalisation: If you have consented to statistics, we store a small overview of which tools you have used locally in your browser (localStorage) in order to show you relevant content. This data does not leave your device and is not shared with third parties. You can delete it by clearing your browser's storage or withdrawing your consent.

The Board is our software for the daily operations meeting. It sits behind a code at prozanta.dk/tavle and is used by the companies that have an agreement with us. Here the roles are reversed: the company using the Board is the controller for what its employees record, and Prozanta is the processor. We process that data only on the customer's instructions, and a data processing agreement is concluded before operation begins. The terms are published at prozanta.dk/en/vilkaar-tavlen and the agreement at prozanta.dk/en/databehandleraftale. If you are an employee of one of our customers and want to know what is recorded about you in the Board, please ask your own employer. They decide over the data, and we may not disclose it without their instruction. No statistics or marketing scripts are loaded on a team's own board pages, and we do not use customer data for statistics, marketing or model training. Where the Board runs on the customer's own server, we have no access to the data at all.
